A vacancy has arisen within Facilities Management for a Monitoring Assistant/ Administrator (Part Time Band 3). The post is based at Callington Road Hospital although travel to other sites across Bristol, North Somerset and South Gloucestershire will be required.

The post holder will be required to have good interpersonal skills both face to face and on the telephone, have an attention to detail, with a high level of accuracy and be fully competent in the use of Microsoft Office. In particular, we are looking for someone with strong Excel skills and who is willing to be trained on bespoke external databases used for information collation and reporting. You will need to be able to work, both unsupervised and as part of a team with the ability to prioritise your own workload, whilst working to set targets and deadlines. This post requires a flexible approach as you will be asked to provide administrative cover within the wider FM team. Although not an exhaustive list, the role will involve;

    • Assist the Monitoring Officer with a range of administrative tasks associated with environmental audits against national cleaning standards, including data input and production of reports.
    • Carry out ‘low risk’ environmental audits checking on standards of cleanliness.
    • Undertake health and safety risk assessments in non-clinical work areas.
    • Provide admin support to include, purchase order expenditure monitoring, maintenance of training records and contract performance monitoring.
    • Front of house reception cover involving face-to-face contact with visitors and service users.
    • Dealing with telephone enquiries and operating an electronic room booking system.
    • Cashiering and dealing directly with service users and staff.

The role will suit someone who enjoys variety in their work and who can manage a range of independent tasks in support of the FM team.

This is a 20-hour part time position working Monday to Friday between 1pm and 5pm (some flexibility possible on starting and finishing times).

AWP is currently undertaking a review of administration systems, processes, job descriptions and structures. As a result of this review it is possible that the job description currently aligned to this role will change in the near future. Any successful applicant will be fully informed and where possible, engaged during any change process once their employment with AWP commences.
